Authorized Scheduling Representative (ASR) Policy

At A New You Massage Therapy And Esthetics, We Understand That Convenience Is Important When Scheduling Appointments. Some Clients May Have Individuals, Such As Partners Or Caregivers, Who Regularly Book Appointments On Their Behalf. To Accommodate This, We Allow Clients To Designate An Authorized Scheduling Representative (ASR).

Definitions

For The Purposes Of This Policy, The Following Definitions Apply:


  • Client: The Individual Receiving Services. The Client Is Responsible For Submitting Intake Forms, Maintaining Accurate Credit Card Information In Our System, Attending All Appointments, And Paying For Services And Fees, Including Those Scheduled, Modified, Or Cancelled By Their Authorized Scheduling Representative.
     
  • Authorized Scheduling Representative (ASR): The Person Authorized By The Client To Schedule, Confirm, Modify, Or Cancel Appointments On Their Behalf.

Terms For Designating An ASR

By Designating An Authorized Scheduling Representative, The Client Agrees To The Following:


  • The Client Remains Financially Responsible For All Services, As Well As Fees Associated With Late Cancellations And Missed Appointments, As Outlined In Our Client Appointment Policy.


  • The ASR Should Confirm The Client’s Availability Before Scheduling Appointments. However, If The ASR Schedules An Appointment That Conflicts With The Client’s Availability (Even Unknowingly), The Client Will Still Be Responsible For Any Resulting Fees.


  • Clients Are Required To Schedule Their Own Appointments Unless An ASR Is Officially On File. This Policy Helps Ensure Clear Communication And Prevents Scheduling Miscommunications.

Maintaining Accurate Information

 It Is Essential For Clients To Maintain Accurate And Up-To-Date Medical And Intake Information For Safe And Personalized Care. While The ASR Is Authorized To Book Appointments, It Remains The Client’s Sole Responsibility To Keep This Information Current. 

Online Appointments

To Prevent Any Confusion Or Disputes, Asrs Are Only Authorized To Schedule Appointments On A Client’s Behalf Through Direct Communication With Our Staff (By Phone Or In Person). This Ensures We Can Verify The ASR’s Authorization To Book On The Client’s Behalf.
 

Appointments Made Through Online Accounts Are Assumed To Be Scheduled Directly By The Client. Clients Should Not Share Their Login Credentials With Anyone, Including Their ASR. It Is The Client’s Responsibility To Ensure All Online Bookings Are Both Accurate And Authorized.
 

If There Is Any Dispute Regarding An Online Appointment, The Client Remains Responsible For The Appointment And Any Associated Fees, Unless Clear Evidence Shows That The Appointment Resulted From An Error Made By The System Or A Member Of Our Staff.

Removing An Authorized Scheduling Representative

To Remove An ASR, The Client Must Submit An Updated Form Indicating The Change. The Client Remains Responsible For Any Appointments And Corresponding Fees Booked By The ASR Until The Updated Form Is Submitted And Processed.
